Job Title: Billing & invoicing Executive

Job Summary
We are seeking a detail-oriented and proactive Billing & invoicing to manage quotations, billing, and shipping-related activities efficiently. The ideal candidate will have hands-on logistics experience, strong analytical ability, and sound finance knowledge to ensure accurate invoicing, cost control, and operational efficiency.
Key Responsibilities1. Billing & Invoicing
- Prepare and process invoices for shipping, warehousing, and Value-Added Services (VAS).
- Verify cost invoices for cargo stored in 3PL warehouses against the WMS system.
- Generate monthly storage invoices and share detailed billing reports with Shipping/Logistics Coordinators.
- Upload, organize, and maintain all billing-related supporting documents in the ERP system.
- Ensure timely closure of open billing jobs and dockets.
2. Quotation & Contract Management
- Prepare spot quotations and long-term contracts in CRM/ERP systems.
- Compare vendor quotations, evaluate pricing, and optimize costs prior to booking.
- Maintain an updated database of client contracts, including renewals and revisions.
- Conduct competitor pricing analysis to support competitive and accurate quotations.
3. MIS Reporting & Analysis
- Generate weekly and monthly MIS reports covering in-process, completed, and pending jobs.
- Share analytical reports with account handlers, finance, and management teams.
- Track freight and transportation demand trends to support commercial decision-making.
- Prepare detailed performance reports on top clients and system efficiency on a monthly, quarterly, and annual basis.
4. Cross-Functional Support
- Coordinate closely with Finance, Operations, and Commercial teams to ensure process efficiency.
- Support management with commercial insights and process improvement suggestions.
- Participate in company events and assist with basic marketing or presentation content when required.
Qualifications & Skills
- Bachelor’s degree in Logistics, Commerce, Finance, or a related field.
- Minimum 2 years of experience in logistics and shipping operations.
- 3pl warehouse and logistics
- Finance knowledge or background is strongly preferred.
- Hands-on experience with ERP/CRM systems, invoicing, and documentation.
- Strong proficiency in MS Excel and reporting tools; WMS knowledge is an added advantage.
- Excellent organizational, analytical, and multitasking skills.
- Strong communication skills and ability to work collaboratively across teams.
- Ability to work under pressure and meet strict deadlines.
