School Secretary

We are seeking a dynamic, young professional who can subscribe to our vision, mission, and values to join our administration team as part of the Innoventures Education group of schools.

The Opportunity

Reporting to the School Principal the school secretarty is responsible for the efficient management of the schools secondary school office supporting day-to-day school activities and routines. You will also assist the admissions team with new student enqiries and enrollment.

To be successful in this role, you should be detail-oriented without losing sight of the bigger picture. Candidates must have the capacity to handle multiple responsibilities and not lose their nerve under pressure.

JOB DESCRIPTION

Job Title School Secretary

Report To Principal / Head of Primary School / Group Admin Manager

KEY RESPONSIBILITIES: To provide administration support to the Principals. To manage and coordinate all day to day operations of the office

DUTIES

Liaise with Head / Deputy Principal regarding day to day administration, schedule appointments and maintain diary

Receive teachers absences before 7am and book suitable substitutes

Ensuring substitutes are settled with necessary class lists, timetable and work in the classroom

Checking and processing student attendance in portals plus entries and follow up of such

Checking and processing staff attendance for HR leave records

Maintaining Substitute teachers payment schedule for submission to Accounts by end of Month

Coordinating new students and leaving students

Reviewing daily Bus attendance and updating bus schedules

Field Trip coordination and booking of transport

Assembly preparation including timetable for Principal with student birth dates and certificates

Authorising general stationery requisitions for staff

In conjunction with the KHDA secretary meet KHDA administration requirements

Booking of Venue rooms for staff and Padia

Collection point for Photograph, Year Book and other orders

Process general enquires from parents, students and teachers

Distributing correspondence

Homeroom announcements

Keeping student files up to date

Professional qualifications and experience

· Graduate/postgraduate.

· Minimum two (2) years’ school experience in the similar role in the UAE.

· Excellent organization, communication skills with a ‘can do’ attitude.

· Strong IT skills especially MS Office applications.
